Job Description:
The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive’s behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Responsibilities:
1. Provide support for various projects initiated by the CEO, including organizing project-related documentation, monitoring progress, coordinating team efforts, and providing regular updates.
2. Utilize analytical tools and skills to prepare high-quality presentations and reports for CEO’s strategic planning and business decisions.
3. Handle sensitive and confidential information with the utmost discretion. Maintain confidentiality in all matters related to the CEO and the organization.
4. Support the CEO in monitoring and tracking key performance indicators for each business unit. Provide regular updates and insights to facilitate informed decision-making.
5. Act as a liaison between the CEO, internal teams, external partners, and stakeholders. Facilitate effective communication, coordinate information flow, and ensure timely responses to inquiries or requests.
6. Utilize digital tools such as travel itinerary apps (e.g., TripIt, Google Trips) or calendar applications to create and manage detailed travel itineraries, flight details, hotel reservations etc. to support CEO’s travel.
7. Apply digital tools such as calendar applications (e.g., Microsoft Outlook, Google Calendar) to manage CEO’s appointments and meetings with internal and external stakeholders.
8. Demonstrated ability and a willingness to adjust to work schedule or make arrangements to accommodate work requirements beyond the standard hour.
9. Perform any additional duties assigned by the CEO or the business, adapting to changing priorities and needs.
Minimum Requirements:
· Bachelor’s degree in business administration, finance, or a related field is preferred.
· A minimum of 2 Years work experience in supporting C-level executives
Qualifications and Skills:
- Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines.
- Strong analytical skills with the ability to collect, interpret, and analyze data from various sources.
- Adaptability and willingness to work flexibly.
- Ability to adopt to work exigencies.
- Proficiency in data analysis tools and software (e.g., Microsoft Excel, data visualization tools, statistical analysis software).
- Exceptional attention to detail and accuracy in data analysis and report generation.
- Effective communication skills, both written and verbal, with the ability to present complex information in a clear and concise manner.
- Discretion and confidentiality in handling sensitive information.
- Strong problem-solving abilities and the capacity to think strategically.
- Proactive and self-motivated, with the ability to work independently and as part of a team.
